​Odoo, also for managing a 
'cashless event'

At parties, festivals, trade shows, or corporate events, cash payments are becoming increasingly rare. Tickets or tokens are also far from ideal, often leading to long queues at the cashier and always leaving you with a few extras. The solution? A wristband, keychain, or other item with an integrated RFID tag that you can personally add money to. Through an additional module in Odoo, the payments and transactions are fully integrated into the software system, providing plenty of opportunities, according to Sofie van Looveren of Odoo partner Callista, who offers this module exclusively. This also applies to the analysis of visitor behaviour at the event.

Never needing cash or tickets again is surely the dream of every event visitor or organizer. Visitors can digitally charge their desired balance onto their wristband, keychain, mobile QR code, or other RFID-enabled item and use it for payments. "This ensures much smoother transactions and reduces the risk of fraud or errors," says Sofie van Looveren of Callista. "After the event, you can choose to have the remaining balance refunded or keep it for use at the next event. It's a win-win for everyone involved."

Callista has developed a module that fully supports such a 'cashless event' and integrates it into the ERP system of Odoo. "Balance management can be handled via a point of sale at the event itself, but it can also be managed perfectly through a webpage or app," Sofie explains. "There's also a special component for 'green festivals', which involves using a deposit system for cups. After returning the cups, the balance is credited back to the wristband. This application is designed to ensure that plastic cups are returned."

But the organization of an event also enjoys numerous benefits from such a 'cashless event' in Odoo. "For instance, based on the data from all transactions, you can analyse visitor behaviour in reports. Who topped up their balance when, what was purchased, what were the profiles, etc. And all of this is, of course, fully anonymized. The complete picture helps to build knowledge about the behaviour of visitors at your event and possibly make optimizations for an even more successful event next time."
